AI enquiry workflow

AI agents for lead qualification

Help your team receive clearer enquiries with a useful next step. Collect missing context, prepare a structured brief and route it to the right person without letting an agent invent commercial promises.

Turn an enquiry into an actionable brief

A lead-qualification agent can ask relevant follow-up questions, summarise the stated need and propose a destination using approved business criteria. The outcome should be an enquiry a person can act on, with uncertainty and missing details visible.

This is not a promise of more sales or a substitute for commercial judgement. If a structured form and routing rule solve the problem, start there. Consider an agent where varied wording, changing follow-up questions or controlled information lookups justify it.

01

Stop losing context between first contact and sales

An enquiry might start on a website, arrive through WhatsApp and end in a personal inbox. Staff repeat questions, copy details into a CRM and forward incomplete messages. The prospect waits while nobody is sure who should respond.

The useful change is a consistent qualification journey: enough information to understand the request, a clear record of what the person actually said and a named next owner. Avoid a long interview that collects data the team will never use.

  • Define the recurring enquiry types and their current destinations.
  • Identify the minimum context needed for a useful first response.
  • Separate a new opportunity from existing-customer support or a supplier approach.
  • Keep a direct human contact path for people who cannot complete the flow.

The AI buyer’s guide helps establish whether this is a process, data or agent problem before you choose a tool.

02

Design qualification as a short, owned journey

  1. Understand the request. Ask what the person needs to accomplish in their own words.
  2. Fill the useful gaps. Ask only for context relevant to this enquiry, such as the current process or required outcome.
  3. Check the interpretation. Show a short summary so the person can correct a misunderstanding.
  4. Apply agreed routing. Propose the appropriate team, preserving uncertainty instead of inventing missing facts.
  5. Record and hand over. Create the permitted record and obtain a clear assignment or queue state.
  6. Explain the next step. Confirm receipt without promising availability or response times the team has not agreed.

For example, a person asking for an integration may need different follow-up questions from someone seeking support for an existing account. The agent can adapt the questions; business rules should still control where the enquiry goes and what may be promised.

03

Define fit without hiding judgement in a score

Write the qualification criteria with the people who own sales and delivery. “Good lead” is too vague. Identify the work you consider, information required for scoping, explicit exclusions and situations that need a conversation.

Do not infer a person's value or suitability from sensitive characteristics or unsupported assumptions. Treat a missing answer as missing information, not a negative judgement. This workflow is for commercial enquiry preparation, not automated employment, credit or other high-impact eligibility decisions.

The general use cases on LCR’s AI Agents page include qualification and routing. They do not establish a universal customer-size threshold or scoring model; those must be defined for the commissioning business.

04

Make CRM updates and human ownership dependable

Agree whether the workflow creates a contact, an enquiry, a task or an opportunity. These are not interchangeable. Check for existing records using approved matching rules, and do not merge people merely because names look similar.

Keep proposed data separate from accepted data. A failed CRM call must leave visible work to recover, not a success message to the prospect. Repeated submissions should be reconciled so the same enquiry does not create several competing sales tasks.

Confirm the actual CRM interface, permissions and supported operations during discovery. Use the integration guide for the contract, and the handover guide for accepted ownership, useful context and fallback.

Collect information for the enquiry rather than silently enrolling someone in unrelated marketing. Have the responsible privacy reviewer assess notices, retention and follow-up rules. Do not ask prospects to put passwords, secret keys or sensitive documents into an open qualification chat.

05

Start with one inbound channel and one team

Hypothetical example, not an LCR case study: a service business receives incomplete requests for integration work. A first release asks about the current systems and blocked process, prepares a summary and routes it to a person. It does not generate a binding quote, promise a delivery date or reject an unusual opportunity.

Test complete and incomplete enquiries, repeated submissions, misrouted support requests and people asking for a human. Include attempts to make the agent reveal other enquiries or ignore its permitted actions. OWASP’s agent-security guidance explains why tools and external input need explicit boundaries.

If WhatsApp is the intended channel, review what a WhatsApp agent can actually do. Channel selection does not remove the need for reliable sources and an available human team.

06

Measure sales usefulness, not conversation volume

Track how many enquiries arrive complete, how often staff correct the summary, whether routing is accurate and whether the receiving team accepts the work. Record how long prospects wait for a useful next step and whether they abandon the qualification flow.

Link enquiry identifiers to later sales stages where appropriate, but distinguish correlation from added value. A sale might have happened without the agent. The AI agent ROI guide explains how to keep capacity, cash and commercial value separate.

Bring representative redacted enquiries, approved service information, qualification rules, CRM details and a named owner to the scoping discussion. Agree the smallest useful release and estimate with your team; no standard price or conversion uplift is assumed.

Questions

Frequently asked questions

What can an AI agent do for lead qualification?

It can help collect missing details, interpret a stated business need, prepare a structured enquiry summary and propose routing against approved criteria. Commercial exceptions, commitments and uncertain fit should remain with an accountable person.

Does lead qualification always need an AI agent?

No. A clear form and fixed routing rules may be enough. An agent is worth considering when enquiries vary substantially and the next question or information lookup depends on the context.

Can the agent reject leads automatically?

Do not use an inferred score as an unexplained rejection. Keep uncertain fit and exceptions reviewable, give people an alternative contact path and distinguish missing information from a confirmed mismatch.

Can it update our CRM?

That depends on the CRM, available interface and agreed permissions. Confirm the exact record operations, duplicate handling and ownership before implementation. A proposed update is not complete until the system confirms it.

How should lead qualification success be measured?

Measure complete enquiries accepted by sales, routing accuracy, response and acceptance times, correction effort and downstream outcomes. Separate contact capture from a qualified opportunity and avoid attributing every later sale to the agent.
